The challenge

Turning a complex session into one clear system.

Preparing a strategic innovation session involved participants, schedules, action points, logistics and milestones spread across different sources. The goal was to bring that information together in one clear working environment.

01

Challenge

Organising a multi-day strategic session with multiple participants, responsibilities and preparation tasks.

02

Goal

Create one structured environment that provides clarity before, during and after the session.

03

Approach

Translate session preparation into a simple modular planning system with clear workflows.

04

Outcome

A focused internal dashboard combining participant management, programme planning, tasks and milestones.

01 — Overview

Everything starts with clarity.

The dashboard provides an immediate overview of the session status, participants, outstanding actions and the countdown to the event.

Less administration. More overview.

The interface was deliberately kept calm and structured. Information hierarchy, spacing and consistent navigation were more important than decorative elements.

Clarity

Important information should be visible at a glance.

Consistency

Repeated interface patterns reduce cognitive load.

Focus

Each screen should support one primary task.

02 — Participants

One overview for everyone involved.

Participants can be grouped by role, organisation and status while session attendance, dietary requirements and overnight stays remain visible in the same view.

01

Status

Track invitation and confirmation state.

02

Attendance

Manage participation across multiple session days.

03

Logistics

Keep practical details such as dinner, dietary needs and overnight stay in one place.

From schedule to working session.

The programme view turns the session agenda into a structured working tool. Time blocks, descriptions, required materials and activities remain editable while preserving a clear overview of the full day.

03 — Actions

Preparation becomes actionable.

Tasks are organised by status so the team can see what still needs attention, what is in progress and what has already been completed.

A planning tool should show what needs to happen next — not just what already happened.

04 — Timeline

Keeping the bigger picture visible.

The timeline connects preparation activities and milestones leading up to the strategic session, helping the team understand both progress and sequence.
